Terms & Conditions

Last updated: 16 October 2026

These terms apply to anyone using the Eightfold Digital website and to every project and service we provide. Please read them before accepting a quote. If anything is unclear, email hello@eightfolddigital.co.uk and we’ll happily explain.

1. About us

Eightfold Digital is a trading name of Matthew Jackson, a sole trader based in Bedford, United Kingdom. In these terms, “we”, “us” and “our” mean Eightfold Digital, and “you” means the business or person we’re working with.

Our services are provided to businesses, not to consumers.

2. Using this website

The content on this website, including text, design, graphics and logos, belongs to Eightfold Digital unless stated otherwise. You may not copy or reuse it without our permission.

We work hard to keep the information on this website accurate and up to date, but we can’t guarantee it is always complete or error-free. Prices shown on the website are starting prices. Your quote will confirm the exact price for your project.

This website may link to other websites. We’re not responsible for their content.

3. Quotes and accepting our terms

Quotes are valid for 30 days from the date they are sent.

A quote sets out the work included, the price and an estimated timeline. When you accept a quote in writing (an email is fine), these terms form the agreement between us, together with the quote.

If anything in a quote differs from these terms, the quote takes priority.

4. Payment

For website design and rebuild projects, we ask for a 50% deposit before work begins. The remaining 50% is due before the website goes live.

Invoices are payable within 14 days by bank transfer to the account shown on the invoice.

Monthly services (hosting, web support and SEO) are invoiced monthly in advance.

If an invoice isn’t paid on time, we may pause work, delay the launch of your website, or suspend hosting until payment is made. We will always contact you first. We also reserve the right to charge interest and compensation on late payments under the Late Payment of Commercial Debts (Interest) Act 1998.

We are not currently VAT registered, so no VAT is added to our prices.

5. Third-party costs

Some projects need paid third-party products, such as a premium theme or plugin licence, a domain name, or stock images. These will be listed in your quote. They are paid for by you, either directly or through us at cost, and remain subject to the third party’s own terms.

6. Scope, revisions and extra work

Your quote describes exactly what’s included. Each website project includes 2 rounds of revisions at the design or review stage. A round means one consolidated list of changes, sent together.

Anything outside the agreed scope, including additional revision rounds, new pages or new features, is extra work. We’ll always tell you before starting extra work and either quote a fixed price or charge our hourly rate of £40 per hour. Extra work only begins once you’ve agreed to it.

7. Your responsibilities

To keep your project on track, you agree to:

Provide content, images, logins and feedback when we need them.

Make sure you own, or have permission to use, any content, images, logos or other materials you send us.

Check your website carefully before approving it for launch.

Keep any login details we give you secure.

We are not responsible for any problems caused by materials you supply, or by changes you or anyone else makes to your website.

8. Delays

Timelines in your quote depend on receiving content and feedback from you on time.

If we haven’t heard from you for 30 days while waiting on content, feedback or approval, we may pause the project and invoice for the work completed so far. We can restart once we hear from you, subject to our availability. If a project is paused for more than 3 months, we may treat it as cancelled under section 15.

9. Launch

When your website is ready, we’ll ask you to review and approve it. Once you’ve approved it and the final payment has been made, we’ll launch it on your domain.

After launch, we’ll fix any bugs in the work we’ve delivered free of charge for 30 days. This covers things that don’t work as agreed, not new changes or extra features.

10. Ownership

Once your project has been paid for in full, you own the website we’ve built for you, including its design and content.

Themes, plugins and other third-party software stay under their own licences. Your domain name should always be registered in your name or your business’s name.

Unless you ask us not to, we may show your website in our portfolio and mention you as a client. We will never share confidential information about your business.

11. Hosting and web support

Hosting and web support plans run on a rolling monthly basis, with no minimum term. You can cancel at any time with 30 days’ written notice.

Hosting plans include hosting on our UK server, an SSL certificate, firewall protection and daily backups.

Web support plans include everything in the hosting plan, plus monthly updates to WordPress, themes and plugins, a monthly security scan, monthly testing of forms and key features, uptime monitoring, a monthly offsite backup and a monthly report. Larger changes, such as new pages or features, are quoted separately.

We take reasonable care to keep your website secure, backed up and working, but we cannot guarantee it will never be affected by downtime, security issues or problems with third-party software. If something goes wrong, we will always do our best to put it right quickly.

If you leave, we will provide a full copy of your website and help you move it to your new host.

12. SEO services

SEO services have a minimum term of 3 months, after which they continue on a rolling monthly basis. You can cancel with 30 days’ written notice after the minimum term.

Search engine rankings depend on many things outside our control, including Google’s algorithms and your competitors. We will always work to improve your visibility, but we cannot guarantee specific rankings, traffic or results.

13. Data protection

Where we build, host or maintain a website for you, you are responsible for the personal data collected on it (the “data controller”), and we process that data on your behalf (as a “data processor”). We will only use it to provide our services, keep it secure, and never share it except with the trusted providers we use to run your website.

How we handle your own personal data is explained in our Privacy Policy.

14. Our liability

We will carry out all work with reasonable care and skill.

Our total liability to you for any project or service is limited to the amount you have paid us for that project or service in the 12 months before the claim.

We are not liable for loss of profits, revenue, business or data, or for problems caused by third-party services such as hosting providers, domain registrars, Google or plugin developers.

Nothing in these terms limits liability that cannot legally be limited.

15. Cancelling a project

Either of us can end a project by giving written notice.

If a project is cancelled, you will pay for the work completed up to that point. The deposit is non-refundable once work has started. Any money you have paid beyond the value of the work completed will be refunded.

16. Changes to these terms

We may update these terms from time to time. The version on this page when you accept a quote is the one that applies to your project.

17. Law

These terms are governed by the law of England and Wales, and any disputes will be handled by the courts of England and Wales.
